We are currently looking for a zen-ninja Executive/Operations Assistant to work closely, in-person, with TAO’s owner and CEO. You will essentially be the right-hand to the CEO. The responsibilities of this position are vital to the effective operation of the company.

DETAILS
The Executive/Operations Assistant serves as the control center for all the exciting growth happening at TAO Leadership Development. In this role you will support our CEO and work with her 1:1 to ensure all internal operations and external client interactions run smoothly and efficiently.
This role is part-time but can quickly move to full-time and possibly even a leadership track for the right person. Your growth with us depends on your performance and results.
Start date: ASAP
Hours Per Week: 15 – 20 hours to start
Location: Phoenix, AZ
Basic Requirements: Your own transportation, your own Apple computer and high-speed internet access
Salary: TBD based on experience

YOUR PRIMARY RESPONSIBILITIES
Exec Asst/Work with Rasheryl
- Work closely with Rasheryl on a day-to-day basis in the Phoenix office
- Work with our global vendors and team members virtually on a project-by-project basis
- Provide Admin + Creative Support for these areas: Executive Coaching, Strategic Partner Relationships, Training Program Licenses, Training Program Customization/Development, and Special In-Person and Online Events
- Provide Scheduling Support + Full calendar Management. Professional + Personal. Ensure that all requests, meetings, appointments, sales conversations and sessions are scheduled for Rasheryl according to her scheduling parameters
- Provide Personal Assistant support when necessary (errands, shopping, etc.)
Project Management
- Do a daily check-in/update with Rasheryl
- Evaluate each project daily to make sure it’s on pace, and prioritize the product flow as needed
- Be the nucleus of each project and be responsible for how well things get done in the project
- Work with virtual team members and get daily status updates from them, as needed
- Review and test each project, product or piece of collateral to make sure it is on brand and of appropriate quality
- Use project management software to complete assigned tasks, setting reminders to stay organized and keep track of all projects, events, etc.
Client Relations
- Be the primary point person for clients, interacting with them via email and phone, and responding to their needs with a sense of urgency, care, and warm professionalism
- Regularly keep track of email correspondence between company and prospects, clients and audience
- Assist in scheduling and organizing client meetings, charts and files
- Finalize and send out client contracts and follow up as needed
- Manage + schedule billing and payment processing
- Resolve client billing issues efficiently
- Regularly update contacts in CRM software & schedule follow up reminders
- Obtain client testimonials after services
- Manage client database, add and update contracts as required
Admin/Operations
- Provide Administrative Support AND coordinate communications for Executive Coaching, Webinars, Online Courses, Training Programs, Speaking Engagements, and Special Events/Launches
- Daily Use of Apple Computers, Gmail, Google Drive, Google Calendar, WordPress, Dropbox, PowerPoint, MS Office for Mac (Word, Excel), GoTo Meeting/Webinar, Skype, Teleconferencing, Basecamp/Trello (or something similar)
- Implement and maintain organizational systems within the company
- Create and update standard operating policies and procedures
- Coordinate travel & event arrangements (flights, hotels, transport, dinner, events, appointments, etc.) as needed
- Regularly attend team meetings
Digital Marketing Tasks (desired)
- Create, maintain, and adhere to Editorial Calendar
- Create newsletter for Infusionsoft email list
- Upload newsletter to WordPress/Infusionsoft
- Research articles & pictures for blogs/newsletter
- Edit and proofread all blog posts and other content
- Post articles and content to website (WordPress) and LinkedIn Pulse
- Upload and manage social media platforms (LinkedIn, Twitter, and Facebook), using Hootsuite
- Live Tweet for webinars and events
- Make light edits to the website
- Utilize Google Analytics
- Review & report numbers related to LinkedIn, website traffic, and email list
REQUIRED SKILLS/QUALIFICATIONS
- MUST HAVE – Excellent time and calendar management skills
- MUST HAVE – Ability to accomplish tasks either independently or in a team
- MUST HAVE – Ability to manage a CRM/client database, including strategic categorization, adding tags and detailed notes, etc. (Infusionsoft preferred)
- MUST HAVE – Ability to manage and lead multiple projects
- MUST HAVE – Excellent attention to detail and be highly organized
- MUST HAVE – Excellent verbal, written, proofreading and interpersonal communication skills
- MUST HAVE – Excellent writing and proofreading skills (including spelling, grammar, punctuation, etc.) for proposals, workbooks, articles, email, etc)
- MUST HAVE – Transportation (with valid drivers license and insurance)
- MUST HAVE – Your own Apple Computer (not borrowing someone else’s)
- MUST HAVE – Ability to use discretion in handling highly confidential information
- MUST HAVE – Ability to work quickly and efficiently, prioritize tasks, and meet deadlines
- MUST HAVE – Ability to interact professionally with contacts at all levels within and outside the organization
- College graduate preferred
- At least five years of executive administrative experience, or equivalent, preferred
- Background/experience in instructional design and/or training and development of coaching programs is a BIG plus
